The processes your trade already runs, written down

Every business has a way it handles a new enquiry, a no-show, a bill that has not been paid. Most of it lives in one person’s head. These are those processes, written out step by step, ready for your assistant to carry out.

Real estate

For agents working buyers and sellers out of a phone, where the deal goes to whoever answers first.

See how Zoye works for estate agents

New enquiry, first hour

Run this the moment a property enquiry lands, from a portal, a form or WhatsApp.

5 steps

Viewing booked

Everything that has to happen once a viewing time is agreed.

4 steps

After the viewing

The follow-up most agents skip, which is where the second viewing comes from.

4 steps

Seller weekly update

The call that stops a seller going quiet on you. Run it once a week per listing.

4 steps

Offer received

From the moment an offer comes in to the moment the seller answers.

4 steps

New listing goes live

Run this the day a property is listed, so the first week is not wasted.

4 steps

Cold buyer revival

Monthly sweep of buyers who went quiet. Most of them never bought anywhere.

4 steps

After completion

The part that makes the next two deals. Run it the week the sale completes.

4 steps

Valuation request

A valuation request is a seller lead. Treat it like one.

5 steps

End of week pipeline review

Friday afternoon. Fifteen minutes that decide next week.

4 steps

Salon and clinic

For appointment businesses, where a no-show is the whole margin and a rebooking is the whole growth.

See how Zoye works for salons

New client books

From the first message to the chair.

5 steps

No-show recovery

Run it the same day. A no-show contacted that day usually rebooks.

4 steps

Rebook before they leave

The single highest-value habit in the business.

4 steps

First visit follow-up

Two days after a first appointment, which is when they decide if you are their place.

4 steps

Lapsed client win-back

Monthly. Everyone who has not been in for twice their usual interval.

4 steps

Fill a cancelled slot

A cancellation an hour before is money unless this runs immediately.

4 steps

Course of treatment

For anything sold as a block of sessions.

4 steps

Birthday and anniversary

Run it monthly against next month, so nothing is late.

4 steps

Unpaid balance

For a client who left owing. Firm, not rude.

4 steps

Weekly diary check

Sunday evening. Find next week problems while there is still time.

4 steps

Coaching and consulting

For one-person practices where selling, delivering and chasing the money are all the same person.

See how Zoye works for coaches

Discovery call booked

From the booking to the call, so you show up prepared.

4 steps

After a discovery call

The 24 hours that decide whether the proposal lands.

4 steps

Proposal follow-up

Three touches, then stop. Most proposals die of silence on our side.

4 steps

New client onboarding

Run it the day they sign, so week one feels organised.

5 steps

Session prep and follow-up

Around every session. This is what clients mean when they say you are on it.

4 steps

Mid-engagement check

Halfway through a package, before it is too late to fix anything.

4 steps

Renewal conversation

Start it two sessions before the package ends, never on the last one.

4 steps

Invoice chase

For a one-person practice, being owed money is the whole cashflow problem.

4 steps

Referral ask

Ask at the one moment it is easy, which is right after a win.

4 steps

Weekly practice review

Friday. The whole business in one screen.

4 steps

Tours and events

For anyone selling a dated experience, where the seat either sells before the date or never sells.

See how Zoye works for travel and tours

Enquiry to booking

Run it on every enquiry, whatever channel it came in on.

5 steps

Deposit and balance

The money timeline for a dated booking.

4 steps

Pre-departure pack

The week before. Every question they were going to ask, answered first.

4 steps

Day before confirmation

The message that turns a no-show into a rebooking.

4 steps

Fill the remaining places

Run it when a date is close and under capacity.

4 steps

After the tour

Same day or the next morning, while it is still fresh.

4 steps

Group or corporate enquiry

A group is a different sale. Slower, bigger, and it needs a decision maker.

4 steps

Weather cancellation

When a date has to be called off. Speed and a concrete alternative.

4 steps

Season opening

Run it once, a month before the season starts.

4 steps

Weekly capacity review

Monday morning. Which dates are in trouble while there is still time.

How a playbook actually runs

  1. 1

    You install it

Ask for it by name and it lands in your account as your own.

    MoreLess

Rename it, cut a step, add one.

  2. 2

    You ask for it

Say "run the new enquiry one" and the assistant works through the steps with your real records.

  3. 3

    It asks before anything irreversible

A step that sends a message or deletes a record still stops and asks you first.

    MoreLess

A playbook is a set of instructions, not a standing permission.

Nothing here runs on a schedule unless you ask for that separately. A playbook is something you call on, not something that fires behind your back.

FAQ

Do I need an account to read these?
No. Every playbook is on this site in full, with all its steps. An account is only needed if you want your assistant to actually run one.
Can I change a playbook after installing it?
Yes, and most people should. An installed playbook is an ordinary recipe in your account: rename it, reword a step, drop the ones that do not match how you work. Installing it a second time never overwrites your version.
Will it do things without asking me?
No. The steps are instructions the assistant carries out when you ask it to run the playbook, and anything that sends a message, spends money or deletes a record still stops and asks you first. A playbook is not a standing permission.
My trade is not on this list. Is it any use?
The steps are written the way you would explain them to a colleague, so borrowing one from a neighbouring trade usually works. You can also just describe your own process once and ask to save it as a recipe, which is what these are underneath.
