Quick answer: the best Help Scout alternative depends on what your inbox is really for. If you run a support queue, Freshdesk, Zendesk or Front give you more help desk. If you want email inside Gmail, look at Hiver or Missive. If your small team answers customers on WhatsApp and Instagram and then has to sell, book and invoice them, Zoye replaces the inbox plus the CRM around it.

Key takeaways (October 2026)

  • Help Scout is back to per-user pricing: $25, $45 and $75 per user per month on annual billing (Standard, Plus, Pro), with a Free plan capped at 5 users and 100 contacts a month.
  • Its AI agent, Envoy, is an add-on at $0.75 per resolution, and Pro needs a minimum of 10 users.
  • Alternatives in this list run from $14 per user (Missive Starter, billed yearly) to $115 per agent (Zendesk Suite Professional, billed annually).
  • Help Scout added WhatsApp in 2026, but outside the 24-hour window it only sends text-only utility templates without variables.
  • Zoye prices the workspace, not the seat: $59 a month for up to 20 members ($47 billed yearly) on Growth, the plan that includes the WhatsApp and Meta automations, with the inbox, CRM, deals, tasks and bookings in the same plan.

What Help Scout does well, and who should stay

Help Scout is a calm, email-like help desk with shared inboxes, a Docs knowledge base and a Beacon chat widget, and it stays easy to learn. If your team answers mostly email, values a simple interface and needs a help centre, Help Scout remains a sound choice in October 2026, and leaving it may not be worth the move.

The product earns its reputation. Conversations look like email rather than numbered tickets, so customers never feel processed. Saved replies, tags, workflows and collision detection keep two people from answering the same message. The Docs sites give you a public help centre, Beacon puts chat and self-service on your website, and the reports are clear enough for a team lead to read without training. Help Scout also keeps a genuinely usable Free plan for up to 5 users, which few rivals still offer.

Stay with Help Scout if most of these are true:

  • Most of your customer conversations still arrive by email.
  • You publish help articles and want them next to the inbox.
  • Your support people do support only, and sales work happens in a separate CRM that already works.
  • You value predictable per-user pricing and have fewer than 25 people answering.

Look elsewhere if your customers moved to WhatsApp and Instagram, if the same three people answer, quote, book and chase payments, or if the seat count keeps rising because everyone needs to see the conversation.

Why teams look for Help Scout alternatives in 2026

Most teams leave Help Scout for one of four documented reasons: seat costs that rise with every person who needs access, useful features held back for Plus or Pro, AI billed per resolution, and messaging channels that arrived late with limits. None of these makes Help Scout a bad product. They make it a poor fit for some teams.

All facts below come from Help Scout's own pricing page and help documentation, as of October 2026.

1. Seat math. Every person who replies needs a paid seat: $25 a month on Standard, $45 on Plus and $75 on Pro, billed annually. Standard stops at 25 users and Plus at 50. Pro has no upper cap but a minimum of 10 users, so the entry price for Pro is $750 a month before anything else. Light users (people who read and comment but rarely reply) are limited by plan, 25 on Plus and 50 on Pro, according to the comparison table.

2. Feature gating. Standard covers the basics: multiple inboxes, live chat, WhatsApp, Instagram and Messenger, and basic workflows. Advanced workflows, round-robin routing, SLA policies and the Salesforce, Jira and HubSpot integrations start on Plus. Unlimited workflows, multiple routing types, SSO and HIPAA compliance sit on Pro. A team that needs one Plus feature, such as round robin, pays $20 more per person per month for it.

3. Inbox and Docs limits. Standard includes 2 inboxes and 2 Docs sites, Plus 5 and 3, Pro 10 and 5. Extra inboxes cost $10 a month on annual billing ($12 monthly) and extra Docs sites $20 ($24). A business with separate brands or regions adds those lines quickly.

4. AI billed by outcome. Envoy, Help Scout's AI agent, costs $0.75 per resolution on every plan, with a 3-month trial of AI Answers resolutions when you open an account. You can set a monthly spending cap, after which AI Answers stops until the next cycle. That is fair pricing for occasional use, and an open-ended line for a busy month.

5. A pricing model that has moved. Help Scout spent a period pricing plans by contacts helped each month rather than by seats, and its current page is per user again, with contacts unlimited on paid plans and capped at 100 a month on Free. Help Scout defines a contact as someone who received a reply from your team or had a question resolved by the AI, with several conversations from the same person counted once. If you signed up during the contact-based period, check which model your account is billed on before you compare.

6. WhatsApp with tight limits. Help Scout's documentation says every paid plan can connect WhatsApp, one business number per inbox, and a number cannot be shared across inboxes. Inside the 24-hour customer service window you can reply freely; after it closes, only approved templates go out, and Help Scout supports text-only utility templates without variables or headers. You create those templates in Meta's WhatsApp Manager, not in Help Scout.

7. It is a help desk, not a business system. Help Scout keeps customer profiles and properties, and Plus connects to Salesforce and HubSpot. It does not run deals, quotes, bookings or invoices. For a small team where the person answering a question is also the person closing the sale, that means a second system and a second bill.

Help desk or shared inbox with a CRM: decide this first

A help desk measures how fast you resolve questions; a shared inbox with a CRM measures what happens to the customer after the reply. Before you compare tools, decide which of the two your team is actually running, because the best Help Scout alternative for one is the wrong tool for the other.

A quick way to decide: open your last 40 conversations and sort them into two piles. Pile one is "question answered, done": a password reset, a shipping date, a how-to. Pile two is "conversation that should lead somewhere": a price request, a booking, a quote, a complaint from a paying client, a reorder.

  • Mostly pile one: you run a help desk. Speed, SLAs, a knowledge base and deflection matter. Freshdesk, Zendesk, Front or staying on Help Scout make sense.
  • Mostly pile two: you run a business through conversations. The inbox has to know the customer's stage, owner, open deal, next task and unpaid invoice. A help desk with a CRM bolted on through an integration is one more thing to maintain, and this is where Zoye fits.
  • A real mix: pick the system for the pile that makes you money and connect the other.

The channel matters too. Help desks grew up on email, and most of them added WhatsApp in the last few years with limits like the ones above. If your customers write on WhatsApp first, test the WhatsApp side of every tool on your shortlist, not the email side.

What to look for in a Help Scout alternative

Judge every option on eight things: the channels your customers really use, how the bill grows, which features sit behind a higher plan, how AI is charged, what the WhatsApp side can do outside the 24-hour window, whether the conversation lands on a customer record, how you get data in and out, and who it is built for.

  1. Channels. Email, live chat, WhatsApp, Instagram and Facebook Messenger. Check each one on the plan you will buy, not on the top plan.
  2. Bill growth. Per user, per agent, per active contact, per conversation, per AI resolution or per workspace. Model your team at today's size and at double.
  3. Feature gating. Round robin, SLAs, rules and integrations are often one plan up. List the three features you cannot work without and find the plan that includes all three.
  4. AI pricing. Per resolution, per session, per seat or included. Ask for a monthly cap.
  5. WhatsApp depth. Templates with variables, proactive messages, assignment, and whether the tool runs on the official WhatsApp Business Platform. Unofficial tools put the number at risk.
  6. Customer record. Does the chat land on a contact with history, owner, stage and open deals, or only on a conversation thread?
  7. Data portability. How you export conversations and customers, and how you import them into the next tool.
  8. Fit. A 6-person team does not need an enterprise suite, and a 60-agent desk should not run on a team inbox.

The 7 best Help Scout alternatives in 2026

These seven cover the realistic directions out of Help Scout: a conversation workspace with a CRM, three shared inboxes that stay close to email, two full help desks and a legacy shared inbox that now sits under an AI-first brand. Each entry starts with the limitation to check, then the October 2026 price and who it suits.

1. Zoye - the team inbox that is also the CRM, bookings and invoices

Zoye is the right pick when answering customers and selling to them happen in the same conversation. Its limit comes first: Zoye is not a help desk ticketing suite. It has no ticket numbers, SLA policies, CSAT surveys or public help centre, so a team that lives on resolution-time reports should keep a help desk.

What Zoye is: an AI Business Operator, one workspace with thirteen tools that already link to each other (CRM and contacts, deals, tasks, calendar, documents, team, budget and invoices, reports, workflow automations, WhatsApp automations, Facebook and Instagram, email tracking and the AI Notetaker), plus an AI that operates them for you. The tools a support-minded team touches most are these:

  • Chats, one team inbox. Instagram messages, Facebook Messenger messages, comments on your posts, story replies and the WhatsApp conversations Zoye has with your leads arrive in one live list. You assign a chat to a teammate, leave notes only your team sees, save quick replies, snooze a chat or mark it done. Every chat is linked to the customer's contact card, and a person who writes again is matched to the same card rather than duplicated. The team inbox page shows the details.
  • The record around the chat. The contact card holds the deal, its stage and value, open tasks, files, bookings and invoices. When a customer asks "where is my quote?", the answer is on the same screen as the question.
  • Replies that do something. Zoye's WhatsApp automations (all off by default, all confirming before they send) include a new-lead auto-message per source, a qualifying bot that writes answers into CRM fields, live audiences and scheduled broadcasts. On Facebook and Instagram, DMs and story replies get an answer right away, and anything that should not be automated goes to a person with the whole chat on the lead's card.
  • Bookings and payments in the chat. Times come from one Booking list with automatic reminders, and a payment link can go out in the WhatsApp chat (Stripe, or Grow in Israel). A paid lead moves stage automatically.
  • Email where you already have it. Zoye reads, drafts and sends through Gmail, connects to Outlook, and email tracking shows opens and clicks on the contact. This is personal email inside the workspace, not a shared email ticket queue like Help Scout's.
  • An assistant on every channel. Ask "which chats are still waiting for a reply?" in the app, on WhatsApp, by voice note, in Slack or in Claude, and Zoye answers from live data and can assign the chat for you.

Zoye task board with follow-ups from customer chats sorted into to do, in progress and done columns

Every promise made in a chat becomes a task with an owner, so nothing waits on someone remembering the thread.

Automations follow one rule: describe what should happen in the app, on WhatsApp or in Slack, and Zoye builds the rule, shows it in plain English, and waits for your approval. Every run is logged with what fired and what changed, and can be reversed.

Two more honest limits. Connecting your own business WhatsApp number is coming soon; today Zoye holds the WhatsApp conversations with your leads on the official WhatsApp Business Platform, and Chats covers Instagram and Facebook fully. And Zoye has no public knowledge base for customers to search.

Pricing (as of October 2026): Almost Free costs $5 a month ($4 billed yearly) for 1 member with the core tools, 15 AI prompts a month and the Google integrations, without automations. Starter is $29 a month ($23 yearly) for up to 10 members and 5GB, Growth $59 ($47) for up to 20 members and 10GB, Scale $119 ($95) for up to 100 members and 25GB, and Customize is quoted. The price follows the plan and team size, not each seat, contact or AI resolution. See the pricing page.

Best for: teams of 2 to 20 whose customers write on WhatsApp, Instagram and Facebook, where every conversation should end in a booking, a payment or a follow-up somebody owns.

2. Front - the collaborative inbox for email-heavy teams

Front is the closest step up from Help Scout for teams that collaborate on email threads, with comments, shared drafts and rules. The limitation is plan structure: Starter supports a single channel type, and native WhatsApp is a paid add-on available on Professional and Enterprise only.

Front shines for account management, operations desks and anyone who handles long threads with several colleagues in the loop. Its rules engine is strong and its analytics are mature.

Pricing (as of October 2026, Front's pricing page): Starter $25 per seat per month billed annually, up to 10 seats and one channel type (email, Front Chat or SMS). Professional $65 per seat, up to 50 seats, omnichannel. Enterprise $105 per seat. The page says annual billing saves 24% and did not show monthly prices. Native WhatsApp costs Meta's charges plus a 20% admin fee. Copilot is $20 per seat per month on Starter and Professional (included on Enterprise), and Autopilot starts at $0.05 per conversation.

Best for: teams of 10 to 50 whose work is mostly email threads that need several people, where WhatsApp is secondary.

3. Freshdesk - more help desk for a similar entry price

Freshdesk is the pick when Help Scout feels too light: ticket fields, SLA management, automations and a large marketplace. The limitation is that the useful AI is priced separately, and the multichannel edition is a different product line (Freshdesk Omni) at a higher per-agent price.

Pricing (as of October 2026, Freshworks' pricing page): Growth $19 per agent per month, Pro $55 and Enterprise $89, all billed annually. There is no free plan; sign-up gives a 14-day trial of Enterprise. Freddy AI Copilot is $29 per agent per month on Pro and Enterprise. The Freddy AI Agent is included with 500 sessions once per account, then $49 per 100 sessions. Freshdesk Omni costs $29, $79 and $119 per agent billed annually. The pricing pages we loaded did not spell out WhatsApp fees, so ask Freshworks how WhatsApp messages are billed on your plan.

Best for: support teams of 5 to 50 that want a full ticketing help desk with SLAs and are happy to price AI separately. Our Freshdesk alternatives guide covers the reverse move.

4. Zendesk - the enterprise-grade help desk

Zendesk has the deepest help desk feature set and app ecosystem on this list. The limitation for a small team is cost and setup: messaging channels, including WhatsApp, start on the Suite plans with extra WhatsApp fees, and AI is billed per automated resolution beyond a small allowance.

Pricing (as of October 2026, Zendesk's pricing page): Support Team $19 per agent per month billed annually ($25 monthly), without social or messaging channels. Suite Team $55 ($69), Suite Professional $115 ($149), Suite Enterprise through sales. Automated resolutions: 5 per agent per month included on Team plans and 10 on Professional, then $1.50 each committed or $2.00 pay as you go. Copilot is a $50 per agent per month add-on, billed yearly, for Professional and above.

Best for: support organisations of 15 agents or more with an admin to configure triggers, views and apps. See our Zendesk alternatives for the other direction.

5. Missive - the cheapest seat for a shared inbox that feels personal

Missive blends a personal email client with team inboxes, comments inside threads and tasks, and it also handles SMS, WhatsApp and social accounts. The limitation is the Starter plan: it caps at 5 users and leaves out rules, integrations and the API, which arrive on Productive.

Pricing (as of October 2026, Missive's pricing page and billing docs): Starter $14 per user per month billed yearly ($18 monthly), up to 5 users. Productive $24 ($30), up to 50 users, with rules, integrations, analytics and API access. Business $36 ($45), unlimited users, with SSO and advanced analytics. Missive's docs state there is no free plan; new teams get a 30-day trial of Productive. Its WhatsApp documentation says it connects directly to the WhatsApp Business Platform and that Missive does not charge additional fees for WhatsApp, so you pay Meta's charges only.

Best for: small teams of 3 to 15 who want email, WhatsApp and SMS in one client at a low seat price, and who do not need a help centre.

6. Hiver - the help desk that lives inside Gmail

Hiver turns shared Gmail labels into an assignable help desk, so nobody leaves Gmail. The limitation is that Gmail itself: teams on Outlook or moving away from Google Workspace gain little, and WhatsApp was not listed on the pricing page we loaded in October 2026.

Pricing (as of October 2026, Hiver's pricing page): Hiver in Gmail lists Growth at $25 per user per month billed annually ($35 monthly), Pro at $55 ($65) and Elite at $85 ($95). AI agents are on every plan, and AI Copilot and the AI Knowledge Builder start on Growth. Pro adds SLAs, CSAT surveys and a customer portal; Elite adds AI QA and customer insights. Voice is an add-on with no price shown. We did not see a free plan on the page.

Best for: Google Workspace teams of 5 to 30 who refuse to leave Gmail and mostly handle email.

7. Groove - the classic shared inbox, now under Helply

Groove was long one of the simplest Help Scout rivals. The limitation is direction: groovehq.com now redirects to Helply, a new AI-first support platform, and Groove's own FAQ says existing Groove accounts continue unchanged without saying whether new customers can still sign up for the classic product.

Pricing (as of October 2026, Groove's billing FAQ): Standard $35 per user per month on monthly billing or $28 billed annually, Plus $55 or $44, Pro $80 or $64. Groove's billing FAQ does not list WhatsApp; it mentions email, live chat, Facebook Messenger and Instagram. Helply itself is priced on AI credits from $49 a month with unlimited users and a 14-day trial, which is a different model from Groove's seats.

Best for: existing Groove customers weighing whether to stay, and B2B software teams curious about an AI-credit model through Helply.

Help Scout alternatives compared side by side

The table puts Help Scout next to the seven alternatives on what changes the bill and the daily work. All prices are as of October 2026, from each vendor's own pricing page or documentation, billed annually unless stated, and exclude Meta's per-message WhatsApp charges.

What 6 people cost on each tool: a worked example

Per-user prices look small on a pricing card and large on an invoice. Take an illustrative 6-person business where everyone answers customers some of the day, billed annually, as of October 2026. These are list prices from each vendor's page and leave out taxes and Meta's WhatsApp charges, which apply on every tool that sends WhatsApp.

  • Help Scout Standard: 6 x $25 = $150 a month. Moving to Plus for round robin: 6 x $45 = $270. If Envoy resolves 200 conversations in a month, add 200 x $0.75 = $150.
  • Front Professional (needed for more than one channel type and for native WhatsApp): 6 x $65 = $390 a month, plus Meta's charges and the 20% admin fee.
  • Freshdesk Pro: 6 x $55 = $330 a month, or $504 with Copilot for all six.
  • Zendesk Suite Team: 6 x $55 = $330 a month, with 30 automated resolutions included and $1.50 to $2.00 for each one after.
  • Missive Productive (Starter stops at 5 users): 6 x $24 = $144 a month.
  • Hiver Growth: 6 x $25 = $150 a month.
  • Groove Standard: 6 x $28 = $168 a month.
  • Zoye Growth: $47 a month billed yearly ($59 monthly) for up to 20 members, the plan that includes the WhatsApp and Meta automations, with the CRM, deals, tasks, bookings and invoices in the same plan.

The cheapest line is not automatically the right one. A desk that reports on SLAs every week will miss what Zoye does not have, and Help Scout Standard at $150 a month is honest value for an email support team. The comparison changes when the same six people also pay for a CRM, a booking tool and an invoicing app next to the help desk: then you are paying several times for one customer.

The WhatsApp question: what every tool must live with

Every tool here that sends WhatsApp does it through Meta's WhatsApp Business Platform, so Meta's rules apply equally. As of October 2026, Meta bills per delivered message, opens a 24-hour customer service window when a customer writes, and allows only approved templates outside that window. The tools differ in how well they handle those rules, not in the rules themselves.

According to Meta's developer documentation on WhatsApp pricing, as of October 2026:

  • Per-message billing has applied since 1 July 2025, by message category and the recipient's country. Messages customers send you are not charged. Use Meta's current rate card for figures; rates can only change at the start of a quarter.
  • Since 1 October 2026, each business phone number gets 1,000 free service messages a month, without rollover, and utility templates sent inside an open service window are charged again.
  • The 24-hour window starts with the customer's last message. Inside it, any reply goes out. Outside it, only an approved template can restart the conversation.
  • Click-to-WhatsApp ads opened in the WhatsApp app on Android or iOS can open a free entry point window of up to 7 days when you reply in time. Desktop and web clicks do not qualify.
  • AI on WhatsApp: since 15 January 2026, Meta's terms bar general-purpose AI chatbots from the Platform, while AI that serves a business's own customers (support, bookings, sales, qualification) remains allowed.

This is why the template detail matters. A help desk that supports only text-only utility templates without variables, as Help Scout does today, can follow up on a support case but cannot send a personalised reminder or a marketing message. A support team that never writes first will not notice. A team that also sells will.

How to switch from Help Scout without losing history

A clean switch takes one to three weeks for a small team: export customers and recent conversations, decide what history you actually need, import contacts into the new tool, reconnect channels one at a time, and run both tools in parallel until the old inbox is quiet. Do not cancel Help Scout until every channel answers in the new place.

A practical sequence:

  1. Inventory. List every inbox, Docs site, Beacon, WhatsApp number, saved reply, tag and workflow. Note which workflows people would actually miss.
  2. Export. Pull your customer list and the conversation history you need. Help Scout's documentation and its API (rate limits of 200, 400 or 800 calls per minute appear on the pricing page) describe what can be exported; check the current options for your plan before you plan the move.
  3. Clean. Remove duplicates, merge companies and decide on fields. Moving 3,000 clean contacts beats moving 9,000 messy ones.
  4. Import. In Zoye, import from a spreadsheet, or from Trello or Monday.com if your pipeline lives there. Jira, Notion and ClickUp imports are coming soon. You can also send the assistant a CSV, a PDF or a screenshot and it extracts the records for you to approve.
  5. Reconnect channels. Connect your Facebook Page and the Instagram account linked to it, then point website forms and ads at Zoye so new leads arrive as contacts. On WhatsApp, Meta's rules about moving a number apply to every tool; check the current options with your provider, because chat history generally does not move with the number.
  6. Rebuild the few rules that matter. In Zoye, describe each one ("assign new Instagram DMs to Sam and remind him if nobody replies in two hours"), check the rule Zoye shows you, and approve it.
  7. Run in parallel for a week, then redirect your support email and close the old inboxes.

Which Help Scout alternative should you choose?

Choose by the job your inbox does. For a help desk with SLAs, pick Freshdesk or Zendesk; for collaborative email, Front; for low-cost personal plus team email, Missive; for Gmail purists, Hiver. If your small team answers on WhatsApp and Instagram and must sell, book and invoice from the same conversation, start with Zoye.

A few typical shapes:

  • A 4-person studio whose clients write on Instagram and WhatsApp to ask for prices and book sessions: Zoye Growth, at $59 a month ($47 billed yearly) for up to 20 members, because the chat, the booking, the payment link and the follow-up task live on one contact.
  • A 12-person software company with an email support queue and a public knowledge base: stay on Help Scout, or move to Freshdesk if you need SLAs at a lower entry price.
  • A 25-person operations team that collaborates on long email threads with clients: Front Professional.
  • A 5-person team that wants a cheap shared inbox for email, SMS and WhatsApp: Missive Starter, accepting the missing rules.
  • A Google Workspace company that will not leave Gmail: Hiver.
  • A 40-agent support desk with a dedicated admin: Zendesk Suite.

Whatever you shortlist, run a two-week test with real conversations: connect one channel, answer every message from the new tool, and at the end count how many conversations produced an owned next step, such as a booking, a quote, a paid invoice or a dated task. A tool that keeps the customer moving after the reply is worth more than one that only closes the thread faster.

If your customers already talk to you on WhatsApp and Instagram, book a Zoye demo and bring a week of real chats: we will show you where each one would land and what would happen next.
